General terms of use for the SSM.ro platform — accounts, services, electronic signature, payments, and suspension
General Information
The SSM.ro platform is developed and operated by Consultia Digital S.R.L. (hereinafter referred to as the "Company"). Consultia S.R.L. is the partner entity that provides consulting services and SSM/PSI (Occupational Health and Safety / Fire Prevention and Firefighting) courses. Clients may be in a contractual relationship with one or both entities, depending on the services purchased; please refer to your signed contract to identify the entity with which you have a contractual relationship. By creating an account and using the platform, the user fully accepts these Terms and Conditions.

Definitions

Registration and Account
- Registration requires a valid email address and acceptance of these terms
- The user is responsible for the confidentiality of their account credentials
- Accounts are personal and non-nominative — they cannot be transferred or shared with other persons
- The Company reserves the right to refuse registration without providing a justification
Services Offered
The SSM.ro platform offers:
- Digital document management — creation, management, storage, and archiving of occupational health and safety documents
- Electronic signature — signing documents with an advanced or qualified electronic signature (eIDAS), applied via remote signing
- Electronic training — delivery and confirmation of receipt of SSM training
- Notifications and alerts — automated notifications regarding documents, expirations, and SSM events
- Archive export — periodic export of signed documents to a destination chosen by the client
- Authority control access — read-only access for ITM (Labor Inspectorate) and other authorized control bodies
Electronic Signature — Conditions
Electronic signing of documents through the platform involves:
- Signatory identification: mobile phone number (for OTP verification); CNP, identity document series and number are required only exceptionally, for the issuance of a qualified signature certificate
- OTP verification via SMS: at each signing session, the user receives an OTP code sent via SMS
- The OTP code is valid for 5 minutes
- An expired code can no longer be used — a new code must be requested
- Explicit consent: signing constitutes full acceptance of the document's content
- Legal validity: signatures produced through the platform are advanced and qualified electronic signatures in accordance with the eIDAS Regulation
The user is responsible for:
- The accuracy of the identification data provided
- The security of the mobile phone used to receive the OTP
- Reviewing the document's content before signing
Costs and Payments
- Some platform features are available free of charge; others are subject to a monthly subscription or usage-based fees
- Applicable rates are displayed on the platform or communicated contractually
- Payment is made based on an invoice, via bank transfer, according to the contractual terms
- The platform does not process online card payments and does not collect or store payment card data
Usage Rights and Intellectual Property
- The SSM.ro platform and all its elements (code, design, trademarks, content) are the property of Consultia Digital S.R.L.
- The user is granted a non-exclusive, revocable, and non-transferable right of use for the duration of the active subscription
- Copying, redistributing, modifying, or commercially using the platform without the Company's written consent is prohibited
User Content
- The user is solely responsible for the content of documents uploaded or generated on the platform
- The Company does not verify the legality or accuracy of document content
- The Company has the right to remove content that violates the law or these terms
Account Suspension and Closure

| Suspension for non-payment | The account may be suspended for non-payment of the tax invoice within the contractual term |
| Reactivation | A suspended account may be reactivated by settling outstanding debts within a maximum of 90 days |
| Permanent deletion | After 90 days of non-payment of the tax invoice, the account and associated data will be permanently deleted |
| Voluntary closure | The user may request account closure; data is retained for 90 days (soft-delete) before permanent deletion |
| Closure for abuse | The Company may immediately close accounts that violate the terms, with prior notice |
Limitation of Liability
- The Company guarantees a monthly availability of 99.9% for the Shared Model (planned maintenance windows and excluded situations are not included in the calculation) — details at Availability Levels
- The Company is not liable for:
- Losses caused by incorrect use of the platform
- Content errors in documents created by users
- Service interruptions caused by force majeure or third parties (infrastructure providers)
- The Company's total liability to a user cannot exceed the value of the subscription paid over the last 3 months
Modification of Terms
The Company may modify these terms at any time with prior notice. Continued use of the platform after this period constitutes acceptance of the modifications.
Applicable Law
These terms are governed by Romanian legislation. Any dispute shall be subject to the jurisdiction of the competent courts of Consultia Digital S.R.L..
