Electronic archiving
Overview of the electronic archiving integrations available in ssm.ro and how to choose the right provider.
The ssm.ro platform can automatically send approved documents to an external electronic archive. Several integrations are available: some are included in the platform and are configured from Settings > Electronic archiving, while others are apps that are installed separately from Apps.
Available providers
All integrations archive documents automatically, daily (outside business hours). In addition, app-type providers (IronMountain, Namirial) also allow manual, per-file archiving from within the app's interface.
| Provider | Type | Account / service required | Archiving | Guide |
|---|---|---|---|---|
| Google Drive | Included in platform | Google Business Standard (Shared Drive) | Automatic, daily | Google Drive |
| OneDrive | Included in platform | Microsoft account / Azure App | Automatic, daily | OneDrive |
| certARCHIVE (certSIGN) | Included in platform | certSIGN contract (electronic archive) | Automatic, daily | certARCHIVE |
| IronMountain M-Files | App | M-Files CloudVault account | Automatic, daily + manual per file | IronMountain M-Files |
| IronMountain AE | App | IronMountain Archive Engine account | Automatic, daily + manual per file | IronMountain AE |
| Namirial E-Sign | App | Namirial eSign account + qualified archive | Automatic, daily (max. 100 docs/run) + manual per file | Namirial E-Sign |
Note on the limit: automatic Namirial E-Sign archiving processes at most 100 documents per run, fewer than the other archiving providers (500). For large volumes, archiving happens progressively, over several runs.
How to choose a provider
- Google Drive / OneDrive — the simplest to set up if the organization already uses Google Workspace or Microsoft 365; archiving runs daily.
- certARCHIVE, IronMountain, Namirial — qualified/enterprise electronic archive, suited to stricter compliance requirements; requires a contract with the respective provider.
