Contact synchronization between organizations
How synchronization of contacts, positions, and departments works between two organizations, and how to activate the rule from your account.
The Contact synchronization between organizations feature allows copying contacts from a source organization to a destination organization. Along with the contacts, the associated positions, job titles, and departments are also carried over.
Positions, job titles, and departments are created automatically in the destination organization — if they don't already exist there, they are created before the contacts are copied (matching is done by name). Departments are recreated with their entire hierarchical structure.
The process has two stages:
- Technical support configures the synchronization rule.
- Each organization (both the source and the destination) must activate the rule from its own account. The rule only works after both organizations have activated it.
Requests for new synchronization rules are sent by email to technical support.
Activating the rule (each organization)
Access from the menu: Settings → Automations → Contact synchronization.
What the table shows
For each rule, the following are displayed:
| Column | Description |
|---|---|
| Source / destination organization | The organizations involved in the rule |
| Identification key | How contacts are matched: by marcă or email |
| Add / Update / Delete | What support has configured for the rule (checkmark = active) |
| Source active / Destination active | Whether the other organization has already activated the rule |
Activate the rule
The Activate rule switch is the main step — each organization must turn it on.
The rule only works when both organizations (source and destination) have turned on the switch.
The Sync button (destination organization only)
The Sync button starts the actual synchronization and is available only in the destination organization, when both organizations are active and there is no synchronization currently in progress.
Clicking it opens a confirmation window that displays the statistics from the last synchronization (contacts added, updated, errors, positions/job titles/departments created). Click Confirm synchronization to start the process.
The Positions button (destination organization only)
It appears only if support has enabled transformations by physical location. It opens a screen where, for each physical location, you choose the assigned position for the synchronized contacts.
Reference — options configured by support
Information about how support configures the rule, for reference:
| Option | Description |
|---|---|
| Identification key | Marcă (default) or Email — how contacts are matched between organizations |
| Create action | Da / Nu — whether new contacts are created in the destination |
| Update action | Da / Nu — whether existing contacts are updated |
| Delete action | Nu / Încetat / Șterge — what happens in the destination when a contact is deleted in the source |
| Position transformations | No transformations (default) or By physical location |
For a synchronization to be able to run, at least the Create or Update option must be activated.
