Organization, Departments, and Posts
Organization data, the department structure, and grouping COR functions into posts — the setup that underpins every generated document.
The organizational structure is the foundation of the platform: the organization's data appears on generated documents, departments determine the workplace manager, and posts determine the training topics. It is configured before adding employees.
Organization data
From Organigrama → the Organizație button, enter the company details: name, tax ID (CUI), address, legal representative.
This data appears on every document generated by the platform, so it must be filled in before generating the first document.
Departments
From Organigrama → Adaugă Departament, build the company structure:
- Departments can be subordinate to the company or to other departments
- The organizational chart can have any number of levels, horizontally and vertically
- An employee belongs to a single department and has a single manager at the workplace (CLM)
Department manager
When creating departments, leave the manager field empty. The manager must be a contact with the Employee role, which usually does not exist in the platform yet while you are building the structure — you set it after adding employees, from Organigrama → click on the department → choose the department manager.
Hierarchical relationships are applied automatically: if a department has no manager, or the manager is suspended, the platform automatically takes the manager of the parent department (ascending detection).
CLM identification mode
If the organization identifies the CLM by Badge Number instead of the organizational chart, the department manager option does not appear in Organigrama — the CLM comes from the import file or is set on each contact. Both modes are described in Settings.
List view
From Organigrama → the LISTĂ button, you switch from the graphical representation to a list. For structures with many levels, the list is more practical to manage.
Posts
The Posturi menu organizes functions from an OHS/Fire Safety perspective. From Posturi → Adaugă Post:
- Group the COR functions (Classification of Occupations in Romania) that carry the same risks into a single post — you will then create a single training topic for the whole group
- Associate the specific risk assessments with each post
- Posts are used for assessment sheets and for on-the-job, periodic, and supplementary training topics
Example: the functions "Mechanic's Assistant" and "Auto Mechanic" are grouped into the "Mechanic" post.
COR functions on import
If you add employees via XLS import, you do not need to add the COR functions manually — the application imports them automatically into the allocated post. The post and the department, however, must already exist.
