Document Issuance
How to generate documents yourself from your personal panel through the Document Issuance self-service module.
The Document Issuance module lets you generate certain documents from your file yourself, without needing to contact the SSM administrator.
1. Accessing the module
- Log in to the SSM platform
- From the personal menu, click Applications
- Select Document Issuance
You will see the list of documents you can generate.
If no document appears, it means the administrator has not yet configured documents for auto-generation, or you are not eligible to generate one at this time (e.g., the document has not expired yet).
2. Generating a document
- Click on the desired document from the list
- If there is a note from the administrator, it will be displayed — read it before continuing
- Click "Generate" to create the document
If you cannot generate the document, the system will display the reason (for example: your current document has not expired yet).
3. Completing the document
Some documents require certain fields to be filled in before they are finalized (for example, declarations with personal data or the travel route).
- Fill in the required fields
- Click "Save" or "Finalize"
- The document appears in your file and can be seen by the administrator
4. Deleting a generated document
If you generated a document by mistake and it is still in draft status (not approved), you can delete it by clicking the delete icon next to it.
Documents that have already been approved cannot be deleted by the employee.

- Navigate to Applications → Document Issuance from the personal panel
- You will see the list of documents you can generate
2. List of available documents
The main page displays all documents configured by SSM as available to you. Each document displays the title, an optional Note from SSM with instructions, and the "Issue" button.
If the list is empty, the SSM department has not yet configured any document for self-service issuance.
3. Generating a document
- Identify the document you want to generate
- Click the "Issue" button next to the respective document
- The system checks whether you have permission to generate the document at this time
- If the check passes, the document is created automatically in your file and you are redirected to the newly created revision
4. Issuance conditions
The SSM department can configure conditions that limit when you can issue a document:
| Condition | What it means |
|---|---|
| Annual limit | You can issue the document only once per calendar year |
| Semi-annual limit | You can issue the document once every six months |
| No limit | You can issue the document at any time |
| Condition on the previous revision | A new issuance is possible only if the last revision has a certain status (approved, expired, or expiring soon) |
If you do not meet the conditions, the system displays an error message explaining the reason.
5. What happens after generation
The newly created revision appears in your document file (the Documents section of your personal profile). Depending on the document type:
- If it requires filling in a form — you are redirected to the form
- If it requires an electronic signature — you are redirected to the signing process
- If it is generated and approved automatically — you will find it directly in the file with the Approved status
If you had a previous revision in draft status for the same document and SSM has configured the "Delete draft" option, it will be deleted automatically.
6. Deleting a generated document
- Find the revision in the list of issued documents on the module's main page
- Click the delete icon next to the desired document and confirm
Deletion is possible only if the revision has draft status. Approved revisions cannot be deleted from this module.
