My Team
How you view your subordinate employees and their documents as a team leader.
The My Team module is available to team leaders and managers and allows them to track the files and documents of their subordinate employees directly from the personal dashboard.
1. Accessing the module
- Log in to the SSM platform
- From the main menu, click My Team
If the module does not appear, contact the SSM administrator — you may not be marked as a leader, or the module may not be enabled for your organization.
2. Team list
The main page displays the employees who report directly to you.
If some employees have their own sub-teams (they are also leaders), you can navigate deeper by clicking on their name to see their team.
The breadcrumb at the top shows which level of the hierarchy you are on and lets you go back to the previous level.
3. An employee's file
Click on an employee from the list to see their file.
If the administrator has enabled document viewing, you will see the list of documents in the employee's file, with the status of each one (approved, draft, expired, etc.).
You can open a PDF or video document to view it directly in the platform.
4. Team reports
If the administrator has enabled reports, you will be able to see your team's compliance status — how many documents are up to date, how many expire soon or have expired.
The view is read-only — you cannot modify employees' documents from this section.
1. Accessing the module
- Log in to the platform
- Navigate to Applications → My Team from the personal dashboard
- The module displays the list of employees who directly report to you
If you receive the message "This section is available only for Workplace Supervisors", it means your account does not have the CLM role. Contact the SSM administrator.
2. Team list
The main page displays the members of your direct team. For each employee the following are displayed: first and last name, employee ID, department, position, and status (active / inactive).
If you have configured a filter by document type, the list displays only employees who have that document (or have it in a specific state). You can change the filter from the top bar of the list.
3. Hierarchical navigation
If you are a CLM for a team that also contains other CLMs (multi-level hierarchy), you can navigate deeper:
- Click on an employee who is themselves a CLM — the list updates to display that CLM's team
- The breadcrumbs at the top show the current hierarchical path (e.g. My Team > Ioan Popescu > Maria Ionescu)
- Click on any level in the breadcrumb to return to that level
You can only navigate down the hierarchy under your direct subordination.
4. Viewing an employee's profile
Click on an employee's name in the list to open their profile with identification data and, if the feature is enabled by SSM, the document list.
5. Employee documents
Available only if SSM has enabled the "Documents" option in the module configuration.
In an employee's profile, the "Documents" tab displays all documents in their file.
| Column | Description |
|---|---|
| Title | Document title |
| Revision status | Status of the latest revision (draft / approved / archived / expired) |
| Expiration date | Date until which the revision is valid |
Click on a document to see the list of available revisions (PDF or video) and view or download them.
Only PDF and video type revisions are displayed.
6. Team reports
Available only if SSM has enabled the "Reports" option in the module configuration.
From the module's main page, navigate to the "Reports" tab.
Report templates
A report template defines what data and filters are included in the report.
Creating a new template:
- Click "New Template"
- The system automatically creates a basic template associated with your account
- Edit the Name, Description, and configure the report filters
- Save
- Edit: Click on a template to modify the name, description, or filters
- Delete: Click the delete icon next to the template and confirm
7. Generating and downloading reports
- From the template list, click "Generate" next to the desired template
- The generated report appears in the "Generated Reports" tab
| Action | Description |
|---|---|
| View HTML | Opens the report in the browser for preview |
| Download PDF | Generates and downloads the report in PDF format |
| Download XLSX | Generates and downloads the report in Excel format |
Click the delete icon next to a generated report to remove it from history (the template remains intact).
Generated reports are visible only to you.
